Paper registers, spreadsheets or blood bank software?
Paper registers and spreadsheets cost little to start but rely on staff remembering every check. Blood bank software costs more upfront but enforces safety checks, links crossmatch to issue, runs look-back automatically and produces inspection registers from daily work.
How do they compare?
| What matters | Paper registers | Spreadsheet | Caresoft BBMS |
|---|---|---|---|
| Stops an expired bag from being issued | Depends on someone checking | Only if a formula is added and noticed | Always: refused at receipt, issue and bedside |
| Links crossmatch to the bag that is issued | No | No | Yes, every bag is scanned against the crossmatch |
| Bedside patient and bag check | Paper form | No | Wristband and bag scan, two checkers |
| Look-back when a donor tests reactive | Manual search through registers | Manual filtering | Automatic: components discarded, earlier donations traced |
| Statutory registers for inspection | Hand-written | Built by hand each month | Generated from the day's work |
| Who changed what, and when | Signatures | No reliable history | Full audit trail with old and new values |
| Many users at once | One register at a time | File conflicts | Yes, with roles and permissions |
| Stock by group and expiry right now | Count the fridge | If updated | Live, with near-expiry alerts |
| Upfront cost | Lowest | Low | Licence and setup |
| Time to start | Immediate | Days | About two weeks for one centre |
When is paper still enough?
A very small storage centre issuing a few units a week, with experienced staff and no HIS, can run safely on well-kept registers. The risk grows with volume, staff turnover, night shifts and the number of people touching each unit.
What do teams notice first after switching?
Fewer phone calls asking "do we have O negative?", because stock is visible to the wards. Inspections move faster because registers are already printed. And near-misses, such as an expired bag pulled from the fridge, are stopped at the scan instead of caught by luck.
